For property developers

Every project answer from the approved source

We design, build and run the system around your developments: a website that converts enquiries, advertising that reaches buyers and agents, a system that answers project questions from approved documents with the source shown, and reporting drafted for review. Your team keeps every decision.

A buyer question, answered from the approved sourceLive
  1. Lead
Enquiry arrivesA buyer's solicitor emails the sales inbox asking for the estimated service charge and the expected completion date for a plot on your current scheme.
  2. AI
Question matched to the projectThe system identifies the development and the plot. It searches only that project's approved sources: the current data room, the sales pack and the latest programme update.
  3. System
Sources checked for conflictsIt finds two service charge figures. The older one sits in a superseded spreadsheet, so it flags the conflict and cites the current data room document with its version and date.
  4. AI
Reply drafted with sourcesA short reply is drafted in your tone, with the figures and links to the source documents. It notes that completion dates are indicative until practical completion.
  5. You
Sales director approvesThe draft lands with the sales director. They check the figures, adjust one line and approve. Nothing is sent without that sign-off.
  6. CRM
Record updatedThe reply is logged against the plot and the solicitor in your CRM. The superseded spreadsheet is flagged for archiving and the enquiry marked as answered.

Managing directors, commercial directors and sales directors of property developers with active projects

  1. The answer is in the data room somewhere

A buyer's solicitor asks for the estimated service charge. The current figure sits in a data room folder, an older one in the appraisal spreadsheet and a third in an email from the QS. Someone senior spends the afternoon working out which is right.

  2. New-homes enquiries wait for an owner

A portal enquiry for a plot arrives on a Friday evening. It sits in the sales inbox until Monday. Nobody is sure whether it belongs to the in-house team, the selling agent or the sales director.

  3. Enquiries treated the same regardless of intent

A serious buyer with finance in place gets the same reply as someone browsing a listing, so a live enquiry can sit unanswered while attention goes elsewhere.

  4. Monthly reporting is a copy-and-paste exercise

Cost, programme and sales updates live in project management tools, the appraisal spreadsheet and the agents' weekly emails. Building one board or funder pack means chasing, re-typing and checking the same figures every month.

  5. The same questions answered from scratch

Agents, brokers and buyers ask the same things about specification, tenure and completion. Each answer is typed again, and if the spec changed last week, the wrong version goes out under your name.

The connected system

One system from first enquiry to signed contract

Each part does one job well and hands off to the next automatically, so a buyer, agent or funder question never depends on catching the right person on the right day.

  1. Website

A site built to convert buyer and agent enquiries per scheme, with plot, specification and availability information that stays current.

  2. Advertising

Google and Meta campaigns aimed at buyers actively searching for new homes in your area, feeding the same lead infrastructure as portal enquiries.

  3. Lead infrastructure

Buyer, agent and broker enquiries from portals, your website and the sales inbox land in one place, matched to the right development and plot.

  4. AI

Answers project questions from approved documents, with the source, version and date shown, and drafts a first reply for review.

  5. Automated follow-up

An enquiry that arrives out of hours or a question left unanswered gets a drafted follow-up on a schedule, instead of waiting for someone to notice.

  6. Qualification

Buyer enquiries are matched to plot, budget and finance position, and agent or broker enquiries are routed to the named owner for that relationship.

  7. Booking

Show home visits and appointments are offered from the sales team's live availability and confirmed automatically.

  8. Nurturing

Buyers not yet ready and agents between instructions are kept updated on a schedule, so interest is still there when the timing is right.

  9. Reporting

Cost, programme and sales updates are pulled from your project tools and agents' reports into one draft, showing what changed and what needs a decision, for the project lead to review before it goes to the board or the funder.

What we build

Systems we design for this sector.

01

Project knowledge assistant

Your team asks a question in plain English and gets an answer from the approved documents for that project, with the source, version and date. Data rooms, sales packs and your project management tools are typical sources.

OutcomeVerified answers without opening the data room.

02

Enquiry capture and handoff

The system reads buyer, agent and broker enquiries from portals, your website and the sales inbox. It matches each one to a development, routes it to the named owner, creates the CRM record and drafts a first reply for approval.

OutcomeEvery enquiry has an owner and a drafted first response.

03

Development reporting

Cost, programme and sales updates are pulled from your project tools and agents' reports into one draft. It shows what changed, what is outstanding and what needs a decision. The project lead reviews it before it goes to the board or the funder.

OutcomeBoard and funder packs assembled for review, not built from scratch.

04

Specification and pricing control

Specification, pricing schedule and tenure details are held as one approved version per development. The sales team and agents draw from it, and when a figure changes, everyone who has quoted the old version is flagged.

OutcomeOne approved version of the facts for every development.

What changes

What your team gets back.

Senior time back

Directors stop being the search engine for their own projects. Questions are answered from the source, and only the decisions reach their desk.

Enquiries owned, not parked

A plot enquiry gets a named owner and a drafted reply under rules you set. Nobody in the sales team has to guess whose job it is.

Reporting that starts from a draft

The monthly pack is assembled from your project tools before anyone opens a blank document. Your team reviews and corrects rather than compiles.

Fewer wrong versions in circulation

Superseded figures are flagged rather than repeated. An agent quoting last month's spec is told before the buyer is.

Investment

Scoped to your schemes, not a fixed price list

Every project is scoped to the developments, data room and tools you actually run. A first implementation often starts with one part of the system, usually the project knowledge assistant or enquiry infrastructure, and expands to further schemes once it proves itself. Pricing is an implementation fee for the build, plus optional ongoing support quoted separately once scope is agreed on the strategy call.

What stays human

Valuations, pricing decisions, planning interpretation, commitments to buyers, contractors and funders, and anything a solicitor or QS should sign off stay with your people. The system is built to show its sources, flag what is missing or conflicting and ask for review rather than fill a gap with a guess.

What you get on the call

  • A 30-minute conversation with the person who would scope and build your system.
  • Your acquisition, lead handling and AI opportunities mapped against how the business runs today.
  • A straight answer on fit, scope and starting price. If it is not right for you, we say so.

Good questions

What development leaders ask us.

Do we have to change our CRM or project tools?

No. We connect to what you already use, a sales CRM, a data room and project management tools, and check APIs, export formats and permissions before agreeing a build.

Where does our project data go, and who can see it?

It stays in your systems. The system reads only the sources you approve, with access set per project and per party. Your data is kept isolated from every other client, and the system respects the permissions already set in your data room and project tools.

Will the sales team and project managers actually use it?

They use it where they already work: the inbox, the CRM and a simple chat window. We build against real examples with the people who will use it and train the team before launch, then adjust based on what they tell us.

What decisions does the system make on its own?

None that matter. It answers, routes, drafts and flags, and anything committed to a buyer, contractor or funder stays with a named person. Every draft shows its sources, so the reviewer checks the evidence rather than hunting for it.

How are projects priced?

Each project is scoped on the strategy call around the schemes and tools you actually run, then quoted as an implementation fee with optional ongoing support. There is no fixed menu of prices to pick from; the proposal sets out exactly what is included.

How much of our time does it take, and how soon does it launch?

A named process owner, usually the commercial or sales director, plus tool access and around an hour a week during the build. A focused first phase, usually the knowledge assistant or enquiry infrastructure, is typically the fastest to launch, with the rest of the system connecting in afterwards.
