For recruitment companies

Consultants on the phone, not in the CRM

We build the system that captures candidate and client enquiries from your website and campaigns, qualifies them, keeps follow-up moving and turns call notes into CRM records automatically. Your consultants review and approve. The system does the typing.

One client call becomes a full CRM recordLive
  1. You

  2. AI

  3. You

  5. System

Where recruitment businesses lose enquiries and time.

Owners and operations directors of recruitment companies with 10 to 75 staff

  1. The brief that never makes it into the CRM

A consultant takes a good vacancy brief on the phone, then spends the afternoon on other calls. The notes sit in a pad or a chat message. By the time the job is in the CRM, half the detail has gone.

  2. Candidate enquiries land and wait

A candidate applies through the website or a job board at 7 pm on a Thursday. Nobody sees it until Monday. By then a competitor has spoken to them twice.

  3. No consistent way to qualify who is worth a call

Every applicant and every new-business enquiry gets the same first response, so a strong candidate or a live vacancy sits in the same queue as someone who is not ready to move.

  4. Interview coordination eats the day

Three candidates, one hiring manager, two rounds. Every slot is an email, a reply and a calendar check. A resourcer spends part of every week on admin instead of sourcing.

  5. Client updates written from memory

The client asks where things stand. The consultant pieces it together from the CRM, the inbox and a colleague's memory, then writes it up by hand.

  6. Nobody can say which channel fills the desk

Job board spend, paid search and organic traffic all produce applications, but when a placement lands nobody can say with confidence what actually drove it.

The connected system

One system from first enquiry to placement

Each part does one job well and hands off to the next automatically, so a candidate or a client enquiry never sits in a queue nobody is watching.

  1. Website

A site built to convert both sides of the desk: candidates applying and clients raising a vacancy, with pages that actually rank for the roles you fill.

  2. Advertising

Google and Meta campaigns aimed at candidates actively looking and clients with an open vacancy, feeding the same lead infrastructure as job boards and referrals.

  3. Lead infrastructure

Applications, vacancy enquiries and job board leads land in one place instead of scattered inboxes, tagged by desk, role and source.

  4. AI

Drafts vacancy briefs from call notes, files them in the correct CRM fields, and drafts client and candidate replies for a consultant to check.

  5. Automated follow-up

Candidate replies out of hours get an answer the same evening. Consultants stop carrying a follow-up list in their heads.

  6. Qualification

Candidates and client enquiries are asked what actually matters, availability, salary expectations, role scope, so a consultant opens a qualified conversation, not a blank form.

  7. Booking

Interview slots are collected from the candidate and the hiring manager, offered and confirmed automatically, with reminders sent to both sides.

  8. Nurturing

Candidates who are not ready and clients who are not hiring yet are kept warm on a schedule, so the pipeline is still there when the timing changes.

  9. Reporting

Every application and vacancy enquiry is tagged to its channel, so you can see which source is actually filling desks.

What we build

Systems we design for this sector.

01

Vacancy brief to CRM

Call notes or a transcript go in. A structured brief in your template comes out, with missing fields flagged. On approval the job, contact and terms are written to your CRM.

OutcomeBriefs get into the CRM while the detail is still fresh.

02

Candidate capture and qualification

Applications from the website, job boards and campaigns are answered promptly, asked the questions that matter for the role and logged against the right vacancy.

OutcomeStrong candidates get a fast reply instead of a queue.

03

Interview coordination

The system collects availability from the candidate and the hiring manager, offers slots and confirms the booking. Reminders go out automatically.

OutcomeInterviews get booked without a consultant playing calendar tennis.

04

Client update drafting

When a client asks for a progress update, the system drafts one from the live CRM record: candidates submitted, stages, feedback and next steps. The consultant edits and sends.

OutcomeClient updates start from the live record rather than memory, and go out after a consultant has checked them.

What changes

What your team gets back.

More time on the phone

Consultants spend their day briefing clients and speaking to candidates, not re-typing what they already know.

A CRM you can trust

Records are filled in the same way every time, with missing fields flagged rather than left blank, and a consultant checks each one.

Fewer people fall through the gap

Evening applications, ignored availability requests and quiet candidates are picked up and followed on a schedule you set. A consultant is handed the thread only when a decision is needed.

Built for your stack, not a new one

We connect to the CRM, inbox and calendar you already run. There is nothing new for your consultants to log into.

Services

The parts of the system.

Start with one part or design the whole system. Each service has a starting-from price on the pricing page.

Investment

Scoped to your desks, not a fixed price list

Every project is scoped to the desks, tools and volume you actually run. A first implementation often starts with one part of the system, usually lead infrastructure or the CRM handoff, and expands once it proves itself. Pricing is an implementation fee for the build, plus optional ongoing support quoted separately once scope is agreed on the strategy call.

What stays human

Consultants keep every decision about people. The system never shortlists, rejects or ranks a candidate, never sends an offer and never contacts a client on a live matter without review. It drafts, books, chases and files, shows where each fact came from and asks a person rather than guessing. Personal data is limited to what the task needs and stays isolated to your business.

What you get on the call

  • A 30-minute conversation with the person who would scope and build your system.
  • Your acquisition, lead handling and AI opportunities mapped against how the business runs today.
  • A straight answer on fit, scope and starting price. If it is not right for you, we say so.

Good questions

What recruitment leaders ask us.

Does it work with our recruitment CRM?

We build around the CRM your desks already run, alongside your job boards, website, inbox and calendar. We are not tied to one CRM, so we confirm the exact connection on the strategy call and tell you before you commit if anything needs a bespoke connector.

Where does our candidate and client data go?

It stays in your CRM, inbox and calendar. The system reads and writes under your permissions and uses only the personal data the task needs. Your data is never mixed with another client's.

Will my consultants actually use it?

They will if it removes typing rather than adding a step. The system works inside the tools they already open, and the consultants who will use it test it before launch and are there when it goes live.

What stays with a human?

Every decision about a candidate or a client. Shortlisting, rejections, offers, fee negotiations and anything sent to a client on a live matter are reviewed by a consultant. The system prepares the work and asks for the approval.

How are projects priced?

Each project is scoped on the strategy call around what your desks actually need, then quoted as an implementation fee with optional ongoing support. There is no fixed menu of prices to pick from; the proposal sets out exactly what is included.

How much of our time does it take, and how soon does it launch?

One named process owner, usually an operations director or senior consultant, for around an hour a week during the build. We also need CRM access and a handful of real examples of the workflow. A first phase is typically the fastest to launch, with the rest of the system connecting in afterwards.
